In this guide you will learn how to manage and create new users, what each user role is allowed to do, and how to add guests to your tenant in Leanheat® Monitor.
Creating a new user
To manage or create a new user navigate to the "Admin" tab and click "User Management" in the second row. The "Accounts" list shows each user with their role, the number of devices and areas assigned to them, when they last logged in and when their access expires.
From this view you can edit an existing user to change their role, the devices and areas assigned to them or their expiry date. You can also remove a user, export their access rights as a CSV file, and renew access for a user whose access is about to expire.
Passwords and personal details are not managed in Leanheat® Monitor. Users sign in with their Danfoss Profile, so a new user receives an email to set up their own account, and changing a password is done in the Danfoss Profile and not here.
To create a new user click "New" in the top left corner. The wizard has four steps:
- "Details": enter the email address of the user, the language their emails should be sent in, and optionally an "Expiration date" after which their access ends.
- "Role": select the role. Clicking a role shows what it is allowed to do, and "Compare all roles" on the right puts all roles side by side.
- "Devices": assign the devices, and the areas, the user may access. Some roles always have access to every device, in which case this step is already decided for you.
- "Summary": check everything and click "Save".
User roles
There are six roles. The table below is the same comparison you get from the "Compare all roles" button in the wizard.
- Admin: allows full access to the application and admin settings.
- Designer: allows full access to the application and areas management.
- Full: allows full access to the application across assigned devices.
- Limited: allow limited access to settings across assigned devices.
- Basic: allows limited access to devices settings for assigned devices.
- Read-only: allows read-only access across assigned devices.

1 Excluding return limit settings and flow/power limit settings.
2 Only for alarms and alarm rules that include at least one assigned device.
3 Only for areas that include at least one assigned device.
4 Only for reports and definitions that include at least one assigned device.
5 Only for assigned devices. Can add new devices.
A dash means the role has no access to that part of the application at all. The "Areas management" and "Shared schedules management" rows are only shown when the Areas feature is enabled for your tenant.
Access expiry and renewal
An expiration date is optional. If you leave it empty the access does not expire. If you set one, the date is shown in the "Expires" column and the access ends on that day. To give the user more time, open the actions menu on their row and choose "Renew access", then pick a new date.
Inviting a guest
A guest is a user from outside your tenant who is given access to it. A guest can have access to several tenants and switch between them. A typical guest is a technician who works for more than one company, or a Danfoss technician.
To invite a guest select "Guests" on the left hand side of the screen under "User Management". In the top left corner click "Invite". The wizard has the same four steps as for a user, except that the first step asks only for the email address and the language of the invitation email. Finish with "Send".
The guest then receives an email and has to accept the invitation. Until they do, the "Status" column shows "Invitation sent". Once accepted it changes to "Accepted". An invitation that is not accepted within seven days shows "Invitation expired" and has to be sent again with "Resend invitation".
If the person you invite does not have a Leanheat® Monitor account yet, the invitation still reaches them. They are prompted to register first, and can accept the invitation once they have an account.
Guests can be given an expiration date in the same way as users, and their access can be extended later from the actions menu on their row.
